Welcome to Punchit! This guide will help you get the most out of your digital punch card tracking system.
Getting Started
What is Punchit?
Punchit is a digital punch card tracking system designed for businesses that run loyalty programs. Instead of physical punch cards, Punchit uses a running balance system (like a bank account) where customers accumulate and use punches across different service offerings.
Core Concepts
- Card Groups: Service categories or offerings (e.g., "Coffee Shop", "Dance Classes", "Haircuts")
- Customers: Your clients who earn and use punches
- Accounts: Link between a customer and a card group, tracking their balance
- Transactions: Individual additions or uses of punches with full history
First Steps
- Create a Card Group: Tap the "Groups" tab and create your first service offering
- Add Customers: Go to the "Customers" tab and add your clients
- Create Accounts: Link customers to card groups to start tracking balances
- Track Punches: Add punches when customers make purchases, use them when they redeem
Managing Card Groups
Creating a Card Group
- Tap the Groups tab at the bottom
- Tap the + button in the top right
- Enter a name (e.g., "Coffee Loyalty Program")
- Optionally add a description
- Tap Save
Viewing Group Details
Tap any card group to see all customer accounts in that group. You can:
- Search for specific customers using the search bar
- View current balances at a glance
- See how many accounts are in the group
Quick Punch Usage
Quick Tip: Swipe right on any account in the card group list to quickly use one punch. This is perfect for busy moments when customers are redeeming rewards!
Editing Card Groups
- Open the card group
- Tap Edit Group
- Update the name or description
- Tap Save
Deleting Card Groups
Warning: Deleting a card group will remove all associated accounts and transaction history. This action cannot be undone.
To delete a card group, open it and tap the delete option. You'll be asked to confirm.
Managing Customers
Adding a Customer
- Tap the Customers tab
- Tap the + button
- Enter customer details:
- Name (required)
- Email (optional)
- Phone (optional)
- Notes (optional)
- Tap Save
Searching for Customers
Use the search bar in the Customers tab to quickly find customers by:
- Name
- Email address
- Phone number
Viewing Customer Details
Tap any customer to see:
- Contact information
- All accounts across different card groups
- Total balances in each group
Editing Customer Information
- Open the customer detail view
- Tap Edit
- Update any information
- Tap Save
Deleting Customers
Warning: Deleting a customer removes all their accounts and transaction history across all card groups.
Working with Accounts
Creating an Account
An account links a customer to a card group. To create one:
- Open a card group
- Tap Add Account
- Select an existing customer or create a new one
- Optionally set an initial balance
- Tap Save
Viewing Account Details
Tap any account to see:
- Large balance display
- Complete transaction history
- Timestamps for all transactions
Adding Punches
- Open an account
- Tap the Add button
- Use the stepper to set the amount
- Optionally add a note (e.g., "Purchase of 10-session package")
- Tap Add Punches
Color Coding: In the transaction history, additions appear in green and uses appear in blue for easy visual scanning.
Using Punches
- Open an account
- Tap the Use button
- The balance decreases by 1
- A toast notification appears with an Undo option
Quick Tip: Made a mistake? You have 5 seconds to tap Undo in the toast notification that appears after using a punch.
Transaction History
Every punch addition or usage is recorded with:
- Date and time
- Amount (positive for additions, negative for usage)
- Optional notes
- Running balance
Deleting Transactions
You can delete individual transactions if needed. The account balance will automatically adjust. Swipe left on any transaction to delete it.
Sharing Card Groups
What is Sharing?
Punchit allows you to share card groups with other iCloud users. This is perfect for:
- Multi-location businesses
- Business partners managing the same customers
- Teams that need collaborative access
How Sharing Works
- Only the specific card group you share is accessible to other users
- Shared users can view and edit all accounts in that group
- Customer information is shared globally across the app
- All changes sync in real-time via iCloud
Setting Up Sharing
Requirements: Sharing requires iCloud to be enabled and properly configured. Both you and the people you're sharing with must be signed into iCloud on your devices.
- Open the card group you want to share
- Tap Share Group
- Choose how to send the invitation (Messages, Mail, etc.)
- Select the recipient
- They'll receive an invitation to join the shared card group
Managing Shared Access
You can remove participants from a shared card group at any time through the sharing options.
Viewing Statistics
The Statistics tab provides insights into your business:
Overview Metrics
- Total customers
- Total card groups
- Total accounts
- Total available punches across all accounts
Activity Tracking
- Today: Punches used vs. added today
- This Week: Activity over the last 7 days
Top Customers
See your top 5 customers by current punch balance.
Recent Transactions
Quick view of the most recent activity across all your card groups.
Frequently Asked Questions
Can I use Punchit offline?
Yes! Punchit works completely offline. All data is stored locally on your device. When you reconnect to the internet, changes will sync to iCloud automatically.
Can customers access their own balances?
No, Punchit is designed as a business management tool. It's intended for business owners/staff to track customer balances, not for customers to view their own accounts.
What happens if I delete a customer by accident?
Deletion is permanent and cannot be undone. That's why Punchit requires confirmation before deleting customers, card groups, or accounts. Be sure you want to delete before confirming.
Can I export my data?
All your data is stored in your iCloud account and syncs across your devices. You can access it through iCloud settings, though Punchit doesn't currently have a built-in export feature.
How many customers/groups can I have?
There's no built-in limit in Punchit. The only limits are your device storage and iCloud storage capacity.
Can I allow negative balances?
Yes! Punchit supports negative balances, which can be useful if you want to let customers use punches on credit.
Do I need to pay for Punchit?

Does Punchit track my usage or customer data?
No. All your data stays on your device and in your personal iCloud account. We don't collect, access, or analyze any of your business or customer information. See our Privacy Policy for details.
Troubleshooting
Data Not Syncing Between Devices
If your data isn't syncing:
- Verify you're signed into the same iCloud account on all devices
- Check that iCloud Drive is enabled: Settings → [Your Name] → iCloud → iCloud Drive
- Ensure you have available iCloud storage
- Check your internet connection
- Try force-quitting and reopening the app
- As a last resort, restart your device
Sharing Isn't Working
If you can't share card groups:
- Verify both you and the recipient are signed into iCloud
- Ensure you both have internet connectivity
- Check that the recipient has accepted the iCloud sharing invitation
- Make sure you're running the latest version of iOS
App Crashes or Freezes
- Make sure you're running the latest version of Punchit from the App Store
- Update to the latest version of iOS if available
- Try force-quitting the app and reopening it
- Restart your device
- If the problem persists, contact support (see below)
Search Not Finding Customers
The search feature looks for matches in:
- Customer names (partial matches work)
- Email addresses
- Phone numbers
Make sure you're spelling the search term correctly and that the customer information is entered in the system.
Undo Doesn't Appear
The undo toast notification appears for 5 seconds after using a punch. If you don't see it:
- Make sure you haven't navigated away from the screen
- Check that you actually used a punch (not added punches, which doesn't have undo)
- Try the action again
Lost All My Data
If your data seems to have disappeared:
- Check that you're signed into the correct iCloud account
- Verify you have internet connectivity to allow iCloud to sync
- Wait a few minutes for iCloud to fully sync
- Check your iCloud storage - if it's full, data may not be syncing
